This is a demo story about a fictional property. It shows how RoomAnchor features fit together; it is not a customer testimonial.

The property

Gulshan Court Suites is an imagined block of 28 serviced apartments in Dhaka. Many guests stay for weeks on behalf of companies, and the company pays the rent while the guest pays for laundry and food.

The problem

In this story, invoices were typed up in a word processor at the end of each month. Extras were missed, companies asked for statements the team could not produce quickly, and nobody knew how much was owed in total.

What they set up

  1. Apartments and types. The property type set to serviced apartments, so the workspace talks about apartments instead of rooms.
  2. A corporate rate plan. A private plan that only staff can book, with longer minimum stays.
  3. Company accounts. Under Finance, Accounts receivable they created an account for each company with payment terms and a credit limit.
  4. Split billing. Each booking had two folios: one for rent, moved to the company account, and one for the guest's extras.
  5. Invoices. Invoices are numbered snapshots of a folio with the organisation's BIN, printed or emailed as PDF.

How the month looks now

Rent charges post automatically from the booking. The accountant sees aged balances for every company, sends statements and allocates payments as they arrive. Guests settle their own extras at check-out.

What to take from it

  • Separate who pays for what with folios, not with spreadsheets.
  • Keep company balances in one place with ageing, so follow-up is easy.
